Firm administrators manage and maintain privileges and roles in the Manage Users app to give your firm the flexibility to control which users have access to various system features and functionality. For example, you may want to give your staff certain rights that do Orion Billing or Trading, and then different rights to your Operations staff. You assign privileges to roles and then roles to users. Create as many roles as you'd like whether you want to manage your rights on a per-user basis or create one role and make everyone the same; it's really up to you! How To Create a New Role When creating a new role from scratch, navigate to the Manage Users app > Roles tab > select New Role. Choose your user level for the new role - either Advisor or Representative. Assign the role a name (e.g. Billing Team, Advisor Default, Advisor Restricted). Use the Apps, Records, Actions, and Advanced tabs to enable the appropriate privileges for that role. Apps control which apps are available for each role. Records control the actions that the user is able to do within the apps (Read, Edit, or even Delete in some cases). Example: Should the user be able to just review and read transactions, or should they have the ability to edit or delete transactions as well? Actions are various tools in the Orion system that need to be enabled for a user to have access. For example, the ability to cancel an account or use the New Account Wizard. Advanced controls more in-depth privileges like Billing Lockdown or the ability to chat with our Subject Matter Expert teams through "Contact Us." How To Clone a Role The clone role feature allows you to copy an existing role and update the copy without changing the original role. This is a huge time-saver because you won't need to create each new role from scratch! Use Case: Your "Advisor Default" role contains the standard privileges you would give to a new advisor-level user, but you need to make slight variations to the role for certain users based on their job duties at your firm. Clone that role, rename it to avoid confusion, enable or disable the privileges you would like to change, and save. This leaves the original role completely unchanged and allows you to make duplicate copies with slight differences in user access. TIP: If you know the name of the privilege, type it in the field in the upper right corner of the screen to find it even faster! How To Assign a Role to Advisors or Representatives To assign a role: Click the Advisors or Representatives tab within the Manage Users app, depending on their user level. Right-click on the user and select Edit User. Select the Profiles tab and use the Role dropdown to assign the appropriate role. Use the View link to review which privileges are enabled / disabled on the current role. After you've updated the role, select the Save button. Please Note: Any changes you make to a role affect anyone else assigned to that role. How To Edit or Update Privileges Locate the role you'd like to update. If you are not sure which role is assigned to each user, click on the Advisors or Representatives tab (depending on the user's login level). Review the role listed next to their name in the Role column. To change the privileges on an existing role: Select the Roles tab > right-click on the applicable role to Edit Role. Select the category section (i.e. Billing, Reporting, etc.) for the area or functionality the privilege is related to. Check the applicable box(es) next to each privilege depending on what kind of access the role should have. Please Note: The box options vary depending on the type of privilege. Checking the Enable box next to a privilege gives the user full access to the app/feature/functionality.Checking the Read, Edit, or Delete boxes next to a privilege allows you to control what kind of access the user has. Click the next to the name of each privilege for more information. After you update all applicable privileges, click Save in the upper right corner.
